Spare Parts Coordinator

We are looking for a Spare Parts Coordinator with strong practical experience in international logistics, import operations, customs clearance, certification and import documentation.

The position is responsible for coordinating spare parts imports, customs clearance, certification requirements and logistics processes, ensuring accurate documentation and timely delivery of spare parts to customers and service operations.

The role also includes spare parts sales support, order management and communication with international suppliers.

Reports to: Head of Maritime Division
Location: Atyrau, Kazakhstan

Key Responsibilities

• Coordinate international import of spare parts from suppliers.

• Organize and monitor customs clearance procedures and coordinate with customs brokers.

• Manage import documentation, including invoices, packing lists, certificates of origin and other required documents.

• Coordinate certification, conformity assessment and import permit requirements, where applicable.

• Ensure compliance with applicable customs, import and regulatory requirements.

• Coordinate international transportation, shipment tracking and delivery of spare parts.

• Liaise with suppliers, freight forwarders, customs brokers and certification bodies.

• Prepare and verify shipping, commercial and technical documentation.

• Coordinate spare parts quotations, orders, invoicing and customer deliveries.

• Support service and sales departments with spare parts availability and technical identification.

• Maintain accurate records and ensure proper document management in company systems.

Requirements

Essential Requirements

• Higher education in Logistics, International Trade, Supply Chain Management, Business Administration or a related field.

• Practical experience in import operations and customs clearance in Kazakhstan.

• Strong knowledge of import documentation and customs procedures.

• Experience coordinating international logistics and freight forwarding.

• Experience working with customs brokers and logistics providers.

• Understanding of certification, conformity assessment and import permit requirements.

• Strong document management and administrative skills.

• Good command of English, Russian and Kazakh, both written and spoken.

• High attention to detail, accuracy and strong organizational skills.

• Ability to independently coordinate multiple operational processes.

Preferred Qualifications

• Experience with international suppliers and European shipments.

• Experience in industrial equipment, machinery or spare parts business.

• Knowledge of ERP systems and commercial documentation.

• Experience with certification and conformity procedures for imported industrial equipment or spare parts.
